£40,000 - £45,000

My client is a well established Real Estate investment company who are based in the West End. They are looking for an Executive Assistant to provide high quality personal and administrative assistance to the executive management team including the CEO, MD and Director. To also be a good team member of the wider admin team providing general support as required. This is a fixed term specified purpose contract, 6 to 9 months.

The successful candidate will be responsible for:

  • Provide a full administrative and secretarial service including extensive calendar management, record-keeping, filing, answering telephone, post and email screening/re-routing
  • Coordinate internal and external meetings and facilitate telephone/video conference calls
  • Event Management, including organising company Christmas party, dinners, drink receptions and any other external or internal events that may arise
  • Be a gatekeeper, answer incoming calls whenever anyone is absent and handle caller's inquiries whenever possible, redirect as appropriate and pass on messages promptly
  • Meeting and greeting visitors
  • Ensure all equipment, IT, facilities and stationery for your managers are maintained to optimum levels at all times
  • Booking restaurants, taxies, couriers
  • Creating expense reports, processing invoices, maintaining contact lists, business cards, filing, printing and binding (outsource if necessary)
  • Make travel arrangements, including book/manage flights, hotels, chauffeurs for executive tours
  • Liaise and work close with the Office Manager and the admin team to develop, operate and maintain administrative processes and systems to support and optimise the work of the office as a whole and seek opportunities to improve working practices and procedures
  • Carry out ad hoc activities as required, including non-business related tasks at times

The ideal candidate will have/will be:

  • Degree educated
  • Minimum 3 years' experience in a similar role
  • Strong prioritisation and organisational skills
  • Have strong IT skills, proficient in Microsoft Word, Excel and PowerPoint
  • Ability to see projects through from start to finish managing time and tasks effectively
  • Ability to work under pressure, manage heavy workload and at times conflicting priorities
  • Excellent attention to detail, ability to multi task, work on own initiative with minimal supervision
  • Ability to be flexible, including work out of hours when necessary
