Our client is a London based property investment and development group which owns and manages hundreds of thousands of square feet of prime office, retail, hotel and leisure space in London and the USA.

Due to growth, a new position has been created, for a Contracts Administrator to join the team. This person will be responsible for;

  • Small Works Orders / Purchase Orders
  • Ensure Terms & Conditions are agreed and negotiate if not
  • Input orders onto Qube system
  • Ensure correct insurances are in place and saved on Qube and the server
  • Create and maintain tracker of orders
  • Weekly review of tracker and risk areas
  • Chasing signatures and return within deadline
  • Document Control
  • Implement and maintain an indexed company standard filing system
  • Carry out regular audits of the filing system and produce / disseminate reports highlighting non-conformances (Internally & Externally
  • Ensure tender review meetings / Weekly progress report minutes / Weekly photographic reports / Progress drop lines are carried out, implemented and recorded with major actions followed through
  • Visit sites on a regular basis, choose a contractor on site and run through the paper trail to ensure that all the correct documents are in place (Contract / H&S and quality documentation). Produce and disseminate a report on the back of this showing where any non-conformances lie.
  • Carry out internal auditing on company process and procedures
  • Financial control - to ensure the budget sheet is maintained correctly and that invoicing is processed and approved in a timely manner

Key Skills/Experience;

  • Strong organisational skills
  • Experience in a similar role
  • Strong data management/document control experience
  • Qube experience desirable
