Hours: Monday to Friday 9:00am-5:30pm

An exciting position with one of the UK's largest landlords has become available for a brand new development in Salford, Manchester. The company have won several awards (including Property Company of the Year) and have gone from strength to strength with a real focus on the Private Rented Sector (PRS). You will assist the Lettings Team in all matters relating to the prompt and appropriate letting of properties for high-end, luxury flats in Salford.

Duties and Responsibilities


  • Check voicemails/emails/system leads and/or delegate to Negotiators
  • Ensure appropriate marketing collateral is displayed in the leasing office and amenity area
  • Running (or preparing) reports on daily lettings activity
  • Participate morning lettings meetings

Property Release & Portals

  • Orderly release of Apartments to 'market' (website, Property portals) as per Lettings Manager instruction
  • Work with Lettings Manager to ensure website and portals display a range of units, aspects, size, layout and price
  • Ensure properties have correct photos & property descriptions before releasing to market and portals
  • Upload property photos on system
  • Select and upload (pre-written) property descriptions and apply to units on the system
  • Ensure incentives are applied correctly on the system before releasing properties to the market
  • Audit Property Portal adverts to ensure pictures, information displayed and rents are accurate
  • Rotate adverts where necessary to ensure adverts are always on the first page/or no advert remains for more than 14 days

Qualifying and Viewing

  • Carry out the qualification of new applicants, adding notes to system
  • Book viewings on system
  • Attend viewings, negotiating, closing when needed
  • Assist applicants with application queries/issues
  • Communicate with all parties and manage expectations of referencing/process from the get-go

Auditing & Compliance

  • Spot checks of applicant & viewing notes
  • Ensure all documents are audited to meet KPIs


  • Report property defects quickly and through the correct channels
  • When required, locating and amending Page Narratives and Auto Responders

Primary Activities

  • Quality screening/qualification of interested parties on initial contact
  • Explanation/education of brand and offering to differentiate in the market
  • Responsible for converting enquiries to viewings
  • Auditing of viewings diary
  • Confirming viewings diary
  • Ensure total compliance on Lettings processes
  • Upload property details & property portal adverts
  • Releasing properties to market upon instruction from Letting Manager
  • Daily reporting
  • Viewings when required
  • Monitor competition (Rightmove plus reporting, phoning agents)
  • Where applicable, allocate out leads to Negotiators

Skills and Experience

  • Experience of working in a property administrative role managing a high volume workload is essential
  • Demonstrable knowledge and understanding of lettings is preferred but not essential
  • A strong team player who is self-motivated, industrious and works well under pressure.
  • Detail oriented, able to set priorities, complete simultaneous projects and ability to meet tight deadlines - strong time management and organisational skills
  • Proven numeracy skills with a good academic record
  • Demonstrable experience of delivering high-level customer service
  • Computer literate including Microsoft packages, Outlook, Excel & Word
  • Previous residential property database experience
  • Proven ability to communicate effectively in both written & oral at all levels both internally and externally
