Senior Estates Administrator

Based in Birmingham

My Client, a leading multi-disciplinary property consultancy, is looking for a talented Senior Estates Administrator to join its successful team in Birmingham. Reporting to the Associate Director you will sit within the Corporate Occupier Management team, advising clients on occupier management services. As a key point of contact in respect of property issues and projects for these clients, your key responsibilities will include:

  • Act as the key administrative point of contact for all property specific queries from a range of sources, both internal and external, in respect of the Client's property portfolio.
  • Liaise with landlord, landlord's agents and tenants to resolve property issues.
  • Undertake periodic inspections of properties in line with contract requirements.
  • Assist in management of vacant space and subtenants and manage any lease queries, neighbourly disputes and subtenants.
  • Manage applications for landlord's consents, with reference to lease conditions, liaising with the external consultants and solicitors where necessary.
  • Assist with service charge invoices, recharges, annual budgets and variance reporting.
  • Provide technical and administrative support as and when required to the Occupier Management team.
  • Prepare repairing liability summaries from legal documentation.
  • Assist with funding requests and the production of payments plans if required.
  • Liaise with the Client's legal team for advice where appropriate.
  • Advise clients on licence applications and insurance claims.
  • Analyse and manipulate data from clients database.

Required experience:

  • Demonstrable track record of working with corporate clients in delivery of occupier management or property management services.
  • A good awareness of basic property law and an ability to read legal documents, such as leases.
  • Provision of financial budgeting/variance reporting and understanding of service charges and insurance.
  • Good IT skills and knowledge of systems, in particular experience of TRAMPS and Excel, and ideally use of Horizon.
  • Understanding of property databases and maintaining accurate data.
