Title: Executive Assistant

Location: Queens, NY

Competitive Base + Bonus

Our client is a Queens based construction contractor, looking to bring an executive assistant to their team. In this role, this individual will assist the CEO with all business and personal requirements to ensure his day is seamless. The EA will also provide back up support to the COO and Director of HR. Ideal candidates will be organized, self-motivated, resourceful and able to work effectively with all internal functional groups.


  • Assist the CEO with day-to-day responsibilities

  • Manage a very heavy calendar that is constantly changing

  • Make travel arrangements for domestic and international trips

  • Create and submit expense reports in a timely manner

  • Gatekeeper to CEO - familiarize yourself with his contacts and know who to prioritize

  • Prepare confidential correspondence and documents

  • Maintain an organized e-file of itineraries, documents, board materials and other important files.

  • Liaise with accountants, attorneys and other professional relationships

  • Back up support to the COO and Office Manager: answer calls, schedule meetings, assist with projects and cover reception duties, as needed.

  • Assist the household with projects, travel, appointments, shopping/returns, errands, events and other ad hoc projects.

  • Ship packages, scan, file, fax and copy

  • asks and items: meals and coffees, filling fridge with drinks and snacks, organize and tidy office, open mail, follow up on open items, updating contacts, checking voice mail messages


  • The individual will have demonstrated an ability to work in a fast-paced, performance-driven environment with an ability to think broadly about the business, incorporating continual improvement of processes and procedures with a goal of excellence while focusing on accuracy and efficiency.

  • At least 5 years of experience working in a professional office environment, preferably for the same C level executive

  • Experienced in Microsoft Office products including Outlook, Word, Excel and PowerPoint

  • Dependable and punctual, Strong attention to detail.

  • Excellent communication and organization skills

  • Self-starter, goal oriented and high level of energy

  • College Degree preferred

  • A positive attitude, strong work ethic and a desire to work collaboratively across the organization.
